Once applicants go through the selection process, a range of specializations, for which each applicant shall be employed, is determined and the initial assessment of the results of the selection process is given based on a 10-point scale.
All the information is entered into the management control system XTRF (electronic database) in the form of a profile.  Then Providers are supplied with a login and password for accessing their profiles, which they will need to edit by pressing the "change" button in the bottom right corner of the screen.
An XTRF profile is a convenient tool for tracking:
1) Information about the projects (especially useful when a Provider has a heavy workload).  The profile lists the deadlines, the Client’s requirements for the execution of the project, full name of the project manager responsible for the project; it also provides a downloaded version of the source document, glossary, and other materials, as well as information regarding fees and payment plan.
2) Any competence related information and contact information.  A provider is encouraged to promptly enter such information into his/her profile in the XTRF system, or, if temporarily unable to do so, to inform the HR director of any changes.

The assessment of the results of the selection process defines the initial rating.  In the process of collaborating with our company every provider can improve or worsen his or her rating based on the results of performing a specific task.  Based on the analysis of a completed translation (completed service in the XTRF system), that project is given a grade based on the same 10-point scale A provider’s current rating is based on several grades over the accounting period, and this rating is taken into account by project managers and the HR director during selection of contractors for new projects.

The initial collaboration with providers is based on the system of simple offers.  That means that when a project manager contacts you, s/he will have a specific order with a particular set of requirements and a particular rate for the service.  Once regular collaboration with a provider is established, a transition is stipulated to providing services on a contractual basis.

KGTC_Company is especially willing to collaborate with service providers, who are registered as self-employed entrepreneurs (SE), with whom our company will likewise enter into a service contract.

When choosing a contractor to perform a project for the company, we follow the practice of competitive selection, offering several potential providers to send in their offers.  Or the practice of testing, when potential providers are offered to do a small volume of work for free in order to determine its quality and compliance with the Client’s needs.
Should providers have any questions regarding a current project, they can contact the project manager overseeing that project.  Should they have any personnel related or other questions, they can contact the HR director.

Taking into account the fact that translation and related services possess a certain creative component, the KGTC CJSC does not regulate the execution order of such services, but focuses on obtaining high-quality results within the specified timeframe.

Payment for services is made according to the Certificate of Work Performed that is sent to the provider after the completion of an accounting period (an accounting period – 1 month).  Then within a month the payment is transferred to the provider based on the previous arrangements, or the payment is collected in cash by the provider the day after the mailing of the Certificate.  During the final settlement the Provider receives the Certificate of Work Performed in advance, and this Certificate includes completed projects over the entire accounting period and the payment due to the Provider.  If the provider cannot receive the payment the day after signing the Certificate, s/he must send a letter requesting to postpone payment to a specific date or wait for the next Certificate.
Projects with a postponed payment period are paid in accordance with the conditions of contract between the provider and the company.
